Working Leads as a Sales Rep

Sales Reps in a partner's account work outside the partner portal - they don't have a login. They receive distributed leads from their supplier and can manage them either via email, or through their CRM. This article describes how they work with a closed loop email workflow. If you are using an email workflow, the person assigned to the lead, user or sales rep, will receive follow up emails.

Partners maintain their list of Sales Reps separately from their portal users, since they have different capabilities.

You can customize the new email notification that the Sales Rep receives. Unifyr provides a default Lead Notification template that you can use as the basis. Ensure the notification includes either Lead Details or Accept/Reject/Reassign Lead links in the body of the email, so that the Sales Rep can access the lead and take action. When you distribute a lead to a partner, you can specify the current lead owner. This can be any of the partner's portal users, or one of their Sales Reps. In this article, we're talking about Sales Reps. 

The nominated Sales Rep receives the email advising that the lead has been assigned to them. They can click the links in the email to access the lead - this takes them to a logged out view of the partner portal, with the lead details displayed. They'll see actions (how they're displayed depends on whether the notification template includes links, or action buttons, or both - here, the email included Accept Lead, Reject Lead, and Reassign Lead buttons, and the Sales Rep clicked Accept Lead)

  • Accept - confirm to the supplier that they are willing to contact the lead and take the appropriate next steps. You specify what information they should provide here, by customizing your Lead > Accept > Lead Accept form. The information they provide is listed in the Feedback area of the lead in your record in Unifyr Admin.
  • Reject - advise the supplier that this lead is not appropriate for them. You specify what information they should provide here, by customizing your Lead > Reject > Lead Reject form.  Once rejected, the lead is deactivated and can't be edited further.
  • Assign/Reassign - choose a new lead owner. The new assignee receives the same New Lead Notification email as the original assignee, and the workflow starts again. If the original owner has already accepted or rejected the lead, the new one will see an error message if they try to do so too. They can both continue to update the lead (see below).

Once the Sales Rep has accepted the lead, they can make further updates to the lead to progress it through the sales process. What they can do depends on how you've set up your Lead Distribution system in Unifyr.

  • Leave feedback - click Lead Feedback or Edit Feedback. You specify what information they should provide here, by customizing your Lead > Feedback > Lead Feedback form. The information the sales rep adds here is listed in the Feedback area of the lead, in the partner's view and in your record in Unifyr Admin.
  • Update current stage in sales process - click Update Stage. You specify what information they should provide here, by customizing your Lead > Contact > Stage Change form. If you've include a custom lead field in the form, the information the sales rep adds there is included in the Custom Fields area of the lead, in your record in Unifyr Admin. 
  • Assign to another user - click Assign and choose a user from the drop down list.
  • Manage attachments - click Upload in the Attachments area and choose the file to include with the lead record.
  • Add supplementary information - click Edit Lead Fields in the Additional Information area. You decide what information to gather here, by including any of your custom lead fields in your Lead > Contact > Lead Contact form.
